Attendee Information

The Annual Meeting is limited to IDCRC, VTEU members, and our DMID partners. In-person attendance is offered by invitation only. Please email idcrc@emory.edu if you would like to inquire about attendance. 

All invited attendees (in person and virtual) are required to register to attend. Virtual attendees will receive the meeting login information prior to the meeting with the email address provided at registration. 

FOR IN PERSON ATTENDEES 

Parking and Transportation 

  • Visitors to Fishers Lane will have access to the free surface lots located behind the 5601 Fishers Lane Building and Garage. Click HERE for a map and further details.
  • For visitors staying at (or close to) The Canopy, a complimentary shuttle will be available to transport attendees to and from the meeting location. While no prior reservation is needed, we ask that you follow the pre-assigned shuttle guidelines:  

AM Shuttle Service (Day 1 and 2) 

  • Pick-Up Location: The Canopy Hotel Washington DC/North Bethesda 
  • Shuttle 1: Departing at 7:35 a.m. (LG Members (PIs, LOC), East Coast VTEUs) 
  • Shuttle 2: Departing at 8:10 a.m. (LG Members (FHI, COU, LOU, SDSU), West Coast VTEUs) 

PM Shuttle Service (Day 1 Only) 

  • Pick-up Location: NIAID 5601 Fishers Lane Conference Center 
  • Shuttle 1: Departing at 3:30 p.m. (for attendees who are not attending a breakout session) 
  • Shuttle 2: Departing at 5:25 p.m. (for attendees attending a breakout session)

Check-in and Security 

  • All in-person attendees are asked to arrive between 7:45 a.m. and 8:45 a.m.
  • Visitors must enter the building through the front lobby entrance on Fishers Lane and present valid, government-issued photo identification (an original document that has not expired) to the security staff. Security screenings are required for anyone not in possession of a valid HHS badge. Visitors will be asked to pass through a metal detector and have bags, backpacks, or purses inspected. 
  • Please be advised that the security process can take up to 30 minutes.  
  • Based on the details you provided through registration, you will receive a pre-printed visitor badge at the security desk when you check in on the first day of the meeting. Please remember to keep this visitor badge for both days of the meeting (i.e., take it with you at the end of Day 1 and bring it back for re-entry on Day 2). 

Food Options 

  • An on-site coffee bar will be open from 8:30 a.m. to 3 p.m. each day 
  • Complimentary Keurig pods and a small assortment of snacks will also be available to supplement refreshment options.  
  • Lunch: Please note that the cafeteria onsite does not provide lunch options. We have arranged to have Chopt deliver ordered lunches each day. Orders must be placed before 9:30 a.m. each day to guarantee delivery. 
FOR VIRTUAL ATTENDEES 

Virtual attendance for the meeting is being offered through Zoom. For attendees who registered virtually, you can expect to receive an email to the address you provided during the required registration process with login information on Friday, May 26, 2024.  

Virtual participants may begin to log in to the meeting at 8:30 a.m. each day. While participants will be muted during the meeting, they are encouraged to submit comments and questions via the chat feature that meeting moderators will be monitoring and relaying to the speakers.

We invite all in-person attendees at the Annual Meeting to join us for a reception on the evening of May 1 as an opportunity for continued networking and celebration of the past year’s accomplishments.

Hosted by the IDCRC LG, hors d/oeuvres and beverages will be available.

During this reception, we will also conduct our annual awards ceremony. The IDCRC presents five annual awards to acknowledge the work of VTEU members who have made exceptional contributions to the IDCRC and VTEU missions. Nominations for this year’s awards are now closed.
